Funding:

  1. Funding for Communities of Practice will be dedicated annually in the national ACPE budget. August 15, 2018 was the deadline to request 2019 funds. 
  2. Refer to the ACPE Finance policy to guide members regarding what may and may not be funded based on current practices for the support of convening/meeting expenses across the association.
  3. The Professional Well-Being Committee will receive and review applications for funding and make recommendations to the Finance Committee.
  4. Should a Community of Practice not spend their requested/approved budget in a given fiscal year (January 1 – December 31), the remaining funds will not necessarily be available for the following year. 
  5. All spending by a Community of Practice will require pre-approval by the Professional Well-Being Committee. Any expenses not approved in advance will not be reimbursed.
  6. Communities of Practice may not use any funds to hire staff. All staffing needs will be handled by the national office.

Below are guidelines to help you build a budget for your community's event. The costs provided are just estimates. Prices will vary depending on location, time of year, etc.

Hospital/Center/Local Space

Commonly used for an event of 50 or less attendees for one day.

Catering/Hospitality Costs    
   Coffee Service and/or Lunch  $50 per person
     
 Meeting Space    
   Small Space (up to 30 people)  $200 average daily rental
   Medium Space (up to 75 people)  $500 average daily rental
     
 Audio/Visual    
   Flip Chart/White Board  $25 average daily rental
   LCD Projector/Screen  $150 average daily rental
     
 Travel Costs    
   Miscellaneous Transportation                       $100 per traveler

Retreat Center

Commonly used for an event up to 125 attendees over multiple days.

Catering/Hospitality Costs    
   Daily Meal Package  $45 per person per day
     
 Meeting Space    
   Small Space (up to 30 people)  $75 average daily rental
   Medium Space (up to 75 people)  $150 average daily rental
   Large Space (up to 250 people)  $250 average daily rental
     
 Audio/Visual    
   Flip Chart/White Board  $25 average daily rental
   LCD Projector/Screen  $150 average daily rental
   Microphone/Sound Package  $50 average daily rental
     
 Travel Costs    
   Airfare  $500 per traveler
   Miscellaneous Transportation  $150 per traveler
   Lodging at 1/2 Room Rate (including tax)  $125 per person per night
   Meals Not Covered by Catering  $70 per person per day

Hotel

Commonly used for event of 100 or more attendees over multiple days.

   Coffee Breaks  $18 per person per day
   Breakfast  $30 per person per day
   Lunch  $45 per person per day
   Dinner  $65 per person per day
     
 Meeting Space    
   Small Space (up to 30 people)  $400 per room per day
   Medium Space (up to 75 people)  $750 per room per day
   Large Space (up to 250 people)  $1500 per room per day
   Ballroom  $3000 per room per day

   Flip Chart/White Board  $80 average daily rental
   LCD Projector/Screen  $450 average daily rental
